These Terms & Conditions ("Terms") govern your access to and use of ReceptionFlow AI, an AI-powered phone receptionist and appointment booking platform developed and operated by Nova Core ("Nova Core," "we," "us," or "our"). These Terms apply to our website, dashboard, and all related services (collectively, the "Services").

Please read these Terms carefully. They contain important information about your rights and obligations, as well as limitations and exclusions that apply to you.

By creating an account, accessing our website, or using any part of the Services, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you are using the Services on behalf of a business, you confirm that you have the authority to bind that business to these Terms.

If you do not agree to these Terms, you must not access or use the Services.

ReceptionFlow AI provides an AI receptionist that answers phone calls, books and manages appointments, communicates with customers, and delivers business insights on behalf of appointment-based businesses. Features, functionality, and pricing tiers may change, be added, or be discontinued from time to time as we improve the platform.

We aim to provide reliable, high-quality service, but we do not guarantee that the Services will be uninterrupted, error-free, or available at all times. From time to time, access may be limited for maintenance, updates, or circumstances beyond our control.

To use most features of ReceptionFlow AI, you must create an account. You agree to:

• Provide accurate, current, and complete information when creating your account.
• Keep your login credentials confidential and secure.
• Notify us promptly of any unauthorized access to or use of your account.
• Be responsible for all activity that occurs under your account.

We reserve the right to suspend or terminate accounts that provide false information, violate these Terms, or are used in a manner that could harm ReceptionFlow AI, Nova Core, or other users.

ReceptionFlow AI helps your business answer calls and manage appointments through AI-driven call handling and scheduling tools. While we design our AI to be accurate and reliable, you remain responsible for:

• Reviewing appointment and booking activity within your dashboard.
• Confirming, rescheduling, or cancelling appointments as needed for your business.
• Ensuring the services, availability, and policies communicated to your customers are accurate and up to date.

Nova Core is not responsible for missed appointments, scheduling conflicts, or business losses arising from inaccurate business information provided to us, third-party service outages, or factors outside our reasonable control.

Certain features of ReceptionFlow AI require a paid subscription. By subscribing, you agree to:

• Pay all applicable fees according to the pricing plan you select.
• Provide accurate and up-to-date billing information and authorize us (or our payment processor) to charge your chosen payment method on a recurring basis.
• Review our pricing page for current plan details, billing cycles, and any applicable taxes.

Subscriptions automatically renew at the end of each billing cycle unless cancelled before the renewal date. Except where required by law or explicitly stated otherwise, fees are non-refundable. We may change our pricing with reasonable advance notice; continued use of the Services after a price change takes effect constitutes acceptance of the new pricing.

The Services, including our website, software, AI models, branding, logos, and all related content, are owned by Nova Core or our licensors and are protected by intellectual property laws. Nothing in these Terms grants you any ownership rights in the Services.

We grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Services solely for your internal business purposes, subject to these Terms. You may not copy, modify, reverse engineer, resell, or create derivative works based on the Services without our prior written consent.

When using ReceptionFlow AI, you agree that you will not:

• Use the Services for any unlawful, fraudulent, or harmful purpose.
• Attempt to gain unauthorized access to our systems, other accounts, or data.
• Interfere with, disrupt, or place undue load on our infrastructure or the AI systems that power the Services.
• Use the Services to send spam, harassing communications, or deceptive content to customers.
• Misrepresent your identity or business, or use the Services on behalf of a business you are not authorized to represent.

We reserve the right to suspend or terminate access to the Services for any use that violates this section or otherwise poses a risk to ReceptionFlow AI, Nova Core, or other users.

To the fullest extent permitted by law, Nova Core and its officers, employees, and partners will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunities, arising out of or related to your use of the Services, even if we have been advised of the possibility of such damages.

Our total aggregate liability for any claim arising from these Terms or the Services shall not exceed the amount you paid to Nova Core for the Services in the twelve (12) months preceding the event giving rise to the claim. Some jurisdictions do not allow certain liability limitations, so some of the above limitations may not apply to you.

Your use of the Services is also governed by our Privacy Policy, which explains how we collect, use, store, and protect information, including customer call data processed by our AI receptionist on your behalf. By using the Services, you acknowledge and agree to the practices described in our Privacy Policy.

We may update these Terms from time to time to reflect changes in our Services, business practices, or legal and regulatory requirements. If we make material changes, we will provide reasonable notice, such as posting an updated "Last updated" date on this page or notifying you through the Services.

Your continued use of the Services after any changes take effect constitutes your acceptance of the revised Terms. We encourage you to review this page periodically.

These Terms are governed by and construed in accordance with the laws of Ireland, without regard to its conflict of law principles. Any disputes arising out of or relating to these Terms or the Services shall be subject to the exclusive jurisdiction of the courts of Ireland, unless otherwise required by applicable law.
